Working legal draft
A plain-language outline of how the public PitSphere website, protected member downloads, and future connected services handle personal and operational information.
PITSPHERE / PRIVATE FOUNDATIONThis privacy notice is a working draft, not a final legal agreement. PitSphere is the trading name of an individual sole proprietor in South Africa. The operator’s legal identity, service address, countries of sale, products, licence model, and data practices must be completed before commercial transactions begin.

The protected downloads centre uses Sign in with ChatGPT. When a member signs in, the hosting platform supplies a stable site-specific user identifier and the member’s email address so access can be checked and displayed.
A membership request remains blocked until the PitSphere owner approves that email address. Approval can be revoked, and the membership register is checked again before each package is served.
After approval, a separate release password creates a secure, identity-bound session cookie that expires after 12 hours. Download access does not by itself grant a software licence.
Future services may process contact details supplied for enquiries, transaction and licence records supplied through an approved commerce provider, and technical records needed to deliver updates or support.
The final notice must identify the individual operating under the PitSphere trading name, the precise information collected, why it is used, where it is processed, and how long it is retained.
Payment details should be handled by the selected secure commerce provider rather than stored directly by PitSphere. The provider, available payment methods, licence-delivery process, and relevant cross-border processing terms must be named in the final notice.
Desktop and offline product data remains under the customer’s control. Any future browser service, synchronisation feature, support upload, or hosted integration will require a specific explanation of security, access, backup, retention, and deletion.
The final notice should explain how people can request access, correction, deletion, restriction, or export where applicable, and how they can contact the responsible privacy representative.
